01 Your first order

A new order lands in “Orders”. Open it to see what was bought, how it was paid and where it goes.

Ship it with “Fulfil”, as in Module 8. Once it has arrived, press “Mark delivered”, or “Delivered locally” for your own delivery.

Manual: Orders and Shipping

02 Draft orders

For a sale by phone, email or in person, open “Draft orders” and press “New draft order”. Choose “An existing customer” or “A new email address”.

Search your products to add lines, or add a “Custom line”. Add a “Discount” and a “Shipping charge”; tax is worked out for you, the same way checkout does.

Press “Send invoice”: the customer is emailed a link to pay by card on your own Stripe account. Once paid, the draft becomes an order ready to fulfil.

Paid in cash or by e-Transfer? Press “Mark paid…”, choose “How they paid” and give a “Reason”. With two-factor authentication on, you confirm with a code.

A draft is “Open”, then “Invoice sent”, then “Paid” once it is an order, or “Cancelled”. A link past its date reads “Link expired”.

03 Answer the customer

When a customer writes, it lands in “Inbox”. Type your reply and press “Send reply”: it goes from your store’s own address. “Internal note” is for your team only.

“Canned responses” keeps answers you give often. When it is done, press “Resolve”, and “Send CSAT” asks the customer to rate it.

04 Returns

Customers start a return from their account, or you open one with “New RMA”. Work them in “Returns”.

Open a return and press “Approve RMA”. With EasyPost connected, “Buy return label” sends the customer a prepaid label.

The return parcel is then tracked like your own: you see where it is, and so does the customer on their Returns page. Once it arrives, the list says “Parcel delivered: inspect it”.

Nothing is marked received for you. Check what came back, press “Mark received” to restock it, then “Resolve & refund” to refund the original payment.

05 Exchanges

A customer can ask for an exchange instead: another size, the same item, or anything you sell. “Send something else” lets you choose a different one.

When the replacement costs less, choose “Back to the original payment” or “As store credit” for the difference. When it costs more, the customer is emailed a link to pay it.

The replacement then waits on hold until it is paid. If they paid you another way, tick “Ship it now, without waiting for the payment” and say why; it is kept in the audit log.

While it is unpaid, “Cancel exchange…” voids the invoice, cancels the replacement and puts its stock back. Unpaid after 30 days, that happens by itself.

06 Refund an order

To refund without a return, press “Refund” on the order. Leave the amount blank for the whole order, or enter part of it, and give a reason.

Press “Issue refund”: card payments go back to the card, with a code from your authenticator app if you use two-factor authentication. Together, refunds never exceed what was paid.

07 Refund an e-Transfer

An order paid by Interac e-Transfer is refunded from your own bank: send the money back by e-Transfer first, then press “Refund”, which opens “Record an e-Transfer refund”.

Enter the amount and press “I have sent it: record refund”. It records the refund and tells the shopper to look for your e-Transfer; it moves no money.

Manual: Accept Interac e-Transfer

08 Disputes

If a shopper disputes a card payment with their bank, it appears in “Disputes”, soonest deadline first, and the order is put on hold.

Open it and press “Fill from records”: the evidence is drafted from the order, its tracking and your messages. Check every field.

Then press “Submit evidence”, which Stripe accepts once per dispute, or “Accept dispute” if the customer is right. Next: grow your store.

Choisissez « An existing customer » ou « A new email address ».

», choisissez « How they paid » et donnez une « Reason ».

Si le remplacement coûte moins, choisissez « Back to the original payment » ou « As store credit » pour la différence.

S’il a payé autrement, cochez « Ship it now, without waiting for the payment » et dites pourquoi ; c’est noté au journal d’audit.

Entrez le montant et appuyez sur « I have sent it: record refund ».
